Jobholder performs all activities, taking into account the highest level of Safety and Health, protecting the Environment.

  • Manage Outlook Calendar and Inbox of the Manager and / or team members if required; redirect messages and monitor the follow-up.
  • All secretarial tasks such as: correspondence, organizing meetings, handling of reports, procedures and other documents
  • Registers and processes incoming and outgoing mail, if required.
  • Drafts correspondence as directed or on own initiative, if required.
  • Filters telephone calls to the Manager, redirects calls and takes messages.
  • Organizes and attends Department / Division meetings, prepares reports, drafting of minutes of meetings and reports, if required.
  • Schedules internal and external meetings (also conference and video conference calls), arranges catering.
  • Prepares tools and material required for conferences, events, meetings, phone calls etc.
  • Organizes business trips incl. travel and accommodation arrangements
  • Organizes office material supply and supervises the office material budget.
  • Organizes and administers the filing system for the Manager and the Department/Division.
  • Organizes events for the Departments / Division and coordinates with other divisions as needed.
  • Coordinates together with HR/General Services the assignment of offices.
  • Coordinates the logistics and organizes visits of external visitors going offshore.
  • Implementation of the Department/Division calendar planning (absences / holidays)

The working environment is both dynamic (ad-hoc assignments) as well as steady (weekly, monthly and yearly recurring tasks/projects).

What we offer

The work location for this candidate will be in Company's office in Den Haag.
Working Hours:
Onshore: 8 hours per day, flexible start and end time of the day. Preference is 5 days per week. However 4 days is possible. The person should be present on Friday.
Full time or part time possible, minimum 32hours. Vast contract

Job requirements

We are looking for a strong, experienced person for this Dynamic and Hectic work environment.

  • Assistant / Secretarial education at minimum MBO level + minimum of 5 years of experience in similar position;
  • Integrity and professionalism;
  • Service & quality minded, accurate and representative, stress resistant, team player
  • Proficiency in MS Office and SAP knowledge
  • Good communication skills and in particular a good contact with correspondents outside the company
  • Fluent in English and Dutch, French is preferable

About the company

The field Operations Department is responsible for maintenance and field operations on Offhsore platforms. With Approximately 75 FTE it is the largest department within the company in Nederland. Currently there are two Assistants working for the Field Operations Department. One of the Assistants is leaving and therefore we are looking for someone new to enforce the team.
