We are currently looking for a Junior Administrative Assistant / Secretary for one of our clients in Leiden. You will be providing optimal secretarial support to the head and employees of the department.
Tasks:
- Setting priorities and timely starting and handling of requests
- Drawing attention to urgent mail, documents or appointments
- (Proactively) providing secretarial support
- Monitoring appointments and progress of current projects and activities
- Sorting incoming mail and collecting additional information for handling correspondence handling routine matters
- Drawing attention to urgent matters
- Preparing activities by gathering the necessary documentation
- Updating agenda of head of department and employees. Planning, making and drawing attention to appointments. Preparing activities by gathering the necessary documents
- Organizing (departmental) meetings, conference calls, video conferences and MT meetings
- Answering and selecting phone calls: Assessing nature, importance and purpose of the request
- Handling (standard) requests
- Arranging (foreign) trips and hotel reservations
- Discussing the traveling plans
- Preparing various lists and graphs for financial reports, timesheets, progress planning of activities etc.
- Establishing and maintaining records and archives
- Keeping up to date the digital archiving system and identifying possible improvements
- Identifying possible improvements for secretarial support within the department
- Participating in various (cross departmental) meetings for alignment of various (secretarial) procedures and method

Job requirements
- At least 2-4 years of secretarial experience
- Bachelors degree
- Fluency in English both written and spoken
- Able to work with MS office and subsequent applicable applications
- Good communication skills, active and passive
- Ability to operate independently and use own initiative
- Good time management skills
- Self starter
- Sound interpersonal skills
- Accurate, attention to detail
