About the job

  • The GR Business Admin & Support Assistant will provide comprehensive, fully proactive and highly confidential admin support to the GR function.
  • The GR Business Admin & Support Assistant will work closely with 3 other GR Administration & Support Assistants and will be collectively overseen by VP, GR, Planning and Effectiveness.
  • In this role the successful candidate will also give dedicated support to two Vice Presidents in the GR function.

Dimensions

  • Coordinate meetings with EC members, other senior managers, and external stakeholders (e.g. World Bank, European Bank for Reconstruction and Development),
  • Diary management for VPs, proactively planning, scheduling and co-coordinating
    external and internal meetings of varying scale including managing all logistics requirements (venue, transport, IT, speakers etc.),
  • General bookkeeping (e.g. processing invoices using SERP & expenses management),
  • Manage scheduling and travel arrangements for VPs, including visa, flight bookings, transfer bookings, hotel reservations,
  • Preparation of complex travel itineraries and Travel Risk Assessment forms,
  • Plan and arrange Webinars/Deep Dive learning sessions for the global GR community,
  • Coordinating all necessary logistics to ensure meetings run smoothly
  • Effecient running of an office with executive office needs

The global GR team is complex and geographically wide-spread. When dealing with both internal and external stakeholders (government, business, and other international organizations), the highest degree of professionalism is required to respect the seniority of individuals, while also being mindful of all cultural sensitivities.

What we offer

An opportunity for 5 to 6 months (tijdelijk dienstverband in Den Haag) for a self-starter with Shell, doing PA work. An opportunity to gain valuable experience at an multinational company in a dynamic team of four assistants. An attractive gross salary ranging between 2, 800 and 3,500 euro based on a full time basis and in accordance with relevant job experience.

Job requirements

  • A poised and professional candidate with 3-4 years of experience within Shell or relevant corporate/government experience,
  • Ability to handle sensitive and confidential matters with utmost integrity & discretion
  • Ability to work independently, balance competing priorities and manage workload
  • Display initiative, flexibility, efficiency, tact and diplomacy always
  • Exceptional attention to detail,
  • Excellent interpersonal skills: communicate and establish positive relationships at all levels
  • Fluency in English with good communication skills, both oral and written
  • Ability to handle expenses and scheduling with perfection
  • Government, corporate or business assistant experience desired
  • Poised professional who can handle corporate interface with government and external stakeholders
  • A person who knows how to run an office and executive office needs
