We are looking for someone to provide administrative and ad-hoc support to the Shell NL Tax function in Den Haag, especially to VPs. The principal accountabilities of this role are as follows:
Day-to-day support to a VP in Tax in addition to Tax department staff regarding complex business travel arrangements (VISA applications, ESTA), create detailed travel packages, leave management, coordination of trainings, registration of conferences and expense management;
Apply for Dutch residency certificates and statements at the Dutch tax authority upon request from global Shell colleagues.
Apply for legalization and apostile documents, keeping close contact with the Dutch Tax Authorities and Corporate Legal Secretaries when needed for the residency certificates;
Analysing incoming correspondence and managing distribution of outgoing correspondence and documentation;
Tasks related to information management, keeping distribution lists up to date, distribution/registration of incoming mail, actively maintaining SharePoint sites;
Ensure all requests to sign documents (by Tax NL staff or Company Directors) are followed up on or before deadline; keeping close contact with the Corporate Legal Secretaries and/or our teams in Asia and Poland;
Drafting letters/statements as carefully instructed by Tax Advisors or by using templates;
Responsible for onboarding (office, phone, computer, security, access to databases, information systems) and offboarding (deregistration, etc.) of Tax department staff;
Maintaining documents libraries in SharePoint for the Tax Unit, including maintenance of change log, distribution lists, issue information notes to concerned users;
Coordination of Tax Q-close activities (scheduling meetings, track attendance, and distribute minutes in a set timeframe);
Coordination of various projects in the Tax Department (i.e. filing and storage of tax documentation – internal and external);
Active member of the SMC and Event Team Committee;
Proficient in SERP and IQN to assist in creating the initial payment request for Tax invoices and forwarding all coded invoices and credit notes to relevant parties for approval. IQN: Assist in creating and submitting Contract/Work Statements for The NL based Tax community;
Setting up team meetings, pre-Q Close meetings, webcasts, etc., creating year planners for recurrent meetings.
Room and resource bookings for meetings and/or events and visitor registration;
Organize various logistic support for the Tax department;
All other activities as required such as assisting in Event Organization, assisting logistics support to Tax Team members, general team support, etc.

Proven proficiency at using Microsoft Office software such as MS Word; PowerPoint, Excel, Outlook, IQN, SERP;
Ability to multi-task and handle ongoing ad hoc requests;
Very good interpersonal skills, i.e. a helpful and positive approach to management and staff in the department;
Effective problem solving and continuous improvement ability;
FSO SharePoint experience or willingness to learn in short term;
Available initially for 40 hours per week (voltijdbaan), which could be worked down to 32 hours per week. May be required to work outside of normal business hours;
