Over de functie

  • Handles the day-to-day administrative operations, provides a multiple of tasks to support a team within General Services environment
  • Scheduling meetings and appointments within the office
  • Organizing the office layout and ordering stationery and furniture equipment
  • Maintaining the office condition and arranging necessary repairs
  • Partner with HR to update and track information and changes that can affect to employees as necessary
  • Assist in the onboarding process for new hires
  • Support the office operations and procedures
  • Ensure that all items are invoiced and paid on time
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Provide general support to visitors
  • Address employee queries regarding office management issues (e.g. stationery and travel arrangements)
  • Issuance of invoices to customers and collection tracking
  • Suppliers invoice record and purchase order issuance
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Plan in-house or off-site activities, like parties, celebrations and conferences
  • Provide, during Tender and/or Execution phases of customer projects, contract support dealing with administrative, contractual, and financial and tax matters through a collaboration with Project Managers and guidance of Corporate Functions

Functie eisen

  • Good knowledge of Microsoft Office and agenda planning tools
  • Familiarity with email scheduling tools, like Email Scheduler
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • Comprehensive knowledge of administrative and financial instruments used to meet contract obligations
  • Used to work in an International environment
  • Languages: Fluency in English and Dutch. Other languages will be a plus
