The Royalties Coordinator will maintain and manage all financial and reporting obligations, from Licensees as well as Licensors, arising from (Licence) Agreements handled within Intellectual Property Services. To act as intermediary between Intellectual Property Services, the Business and worldwide Shell financial auditors to ensure the correct invoicing and payment. Reports to: Head Royalties and Business Information.
1. Handling of Agreements with Royalty obligations
Input of all Agreements with Royalty obligations in Memotech System, into which all
relevant parts of the agreement obligations such as receipts, payment controls and due dates are registered;
Update the system in case of changes or terminations of any agreement;
To register invoicing details into Memotech in order to make reports on
utstanding items and do checks;
Enter WBS (Work Breakdown Structure) no. from the Salesforce system into the Royalty system for the Licence Agreements.
2. Independently handling of all financial obligations arising from Agreements handled within Intellectual Property Services.
To monitor dates at which invoices should be prepared based on the collection of Royalties;
Monitor payments and contact parties if payment is overdue;
Outstanding invoices should be checked and chasing of licensees should be done in case of late payment as well as the handling of penalty clauses and calculation of interest amounts;
To request data from business in a timely manner, calculate the Royalty to be paid and send information to licensors.
Check all Royalty statements for correctness and prepare invoices as necessary;
Prepare engagements and IntraGroup invoices for SRL royalties
Prepare manual journal entries for the royalty revenue as necessary
Coordinate the timely payments of royalties with the Expenditure Accnts Payable (KRW)
Issue collection orders and Bills of Exchange for payments and Letters of Credit;
To handle Tax forms if appropriate, and in accordance with relevant agreements invoices and/or bookings should be grossed-up to avoid incomplete Royalty receipts. All is done in accordance with taxation regulations;
Comply with all complex invoicing requirements of Chinese and Russian companies;
To handle the rates escalation using indexing
Work with and understand the rules of a complex financial system called “SERP”.
3. Independently handling of all reporting obligations arising from Agreements handled within Intellectual Property Services using Memotech
To prepare a yearly Royalty forecast in cooperation with licensing attorneys, division heads and business contacts;
Liaise with Authorised Licensors and third-party companies to compile budget forecast reports;
Issue budget reports to parties concerned;
Issue reports comparing Budget Forecasts to Actual Payments to Upstream and Downstream licensing managers;
To send reminders to different parties to remind them of important due dates.
To provide Royalty related ad-hoc reporting for the benefit of IPS internally and business;
4. Intermediary tasks
On a daily basis liaise with Chennai staff on invoicing aspects;
On a quarterly basis discuss the payment debtors with Company controllers and whether provisions for bad-debt need to be taken;
Contact with companies for Royalty figures;
Contact with Auditors and answer questions about invoices and agreements;
Liaise with Banks regarding the collection of orders;
Liaise with Tax department about withholding tax rates;
Liaise with the Shell business to answer questions on all aspects of Royalties;
Give advice to internal IPS staff on all aspects of Royalties.
On monthly/quarterly basis allocate IP patent costs via manual journal entries
Work closely with PTX Account Analysts and Licensing Managers to ensure timely collection of royalties

The incumbent deals with day-to-day and long-term problems inherent to all IPS Royalty issues and working with a complex financial system.
The incumbent keeps abreast of any changes in the Shell financial system, invoicing, withholding tax issues as well as of changes in Financial regulations and procedures and he/she should be in close contacts with all parties involved to make sure that invoicing and payments are done correctly.
Failures to achieve this could have an influence on Shell Royalty annual average income.
Incumbent should have good insight into Licensing contracts and clauses and a good knowledge of Legal terms and jargon.
A good knowledge of internal and external financial and tax regulations. A thorough knowledge of various computer software applications as well as a high level of experience of working with Shell databases and in particular with the Shell Financial systems.
A detailed knowledge of English and a considerable amount of human relation skills in dealing with contacts in- and outside Shell.
A person with a legal eye for details and excellent analytical abilities.
