The primary focus of the Supporting Management Assistant is to fulltime support one global leader and their team within the Fragrance Division. The role also consists organizational support to the Fragrance Division business needs.
The ideal candidate is a self-starter, has a high level of pro-activeness and ownership and can easily navigate between different layers of the organization.
The role includes financial management in SAP.
Due to the nature of the work of the team, occasional project coordinating assignments can be expected.

Here are a few of the daily activities

  • Meeting scheduling and calendar management for individuals who are located around the world
  • Manage agendas, meeting notes, emails and other communications on behalf of management. Follow up on deliverables assigned to meeting attendees.
  • Arrange and set up teleconference calls.
  • Ownership of Purchase Order creation and follow up.
  • Coordinate all travel, including air, hotel and other reservations. Due to high volume of travel, schedule and itinerary change frequently. In some cases, support may be required outside of office hours. Therefore, you are flexible and willing to go the extra mile.
  • Coordinate visa applications
  • Greet callers and visitors, serving as a positive representative for the global leader
  • Copying, filing, faxing, and shipping.
  • Maintain and order office equipment and supplies
  • Demonstrates extremely high level of ethics, professionalism and confidentiality at all times

You don't support one specific manager but in stead you facilitate all the surrounding activities and support group and the project teams of the Fragrance division
